Services Setup

 

 

Before you can use the Sales Register you have to decide what services your salon offers. Unique will keep track of up to 999 different services (number 000 to 999), so you have a lot of flexibility in deciding what to offer. E.g. Perms, HairCuts, Facial, etc. Service numbers that are not being used can be turned off so that they won't show up on reports or be accepted in the Sales Register.  

 

To setup your services: 

 

Select Sales Register option "S " from the Main Menu . From the Sales Register menu select Misc . Then select "Register Setup ".  

 

Select the Services Setup option from the pull down menu. A scrollable window appears listing all the services and related information. To change the setup configuration, highlight the service you want to change and select Ok.  

 

Field Labels: 

 

Service This is a pre-assigned service number between 000-999 that cannot be changed. If you want to assign a service to another number, locate the desired service number in the previous window and select OK to make any necessary changes. 

 

Description You can enter a 10 character description of the service. This description will appear in the Sales Register when a sale is rung up and on several of the Daily and Period sales reports. 

 

E.g. A shampoo, blow-dry, press & cut can be entered as Sh/BL/Cut; Shampoo & Set as Sh/Set; Hair Cut as Hair/Cut; Matrix Perm as Ma/Perm; Highlight & Cut as High/Cut.; Facial as Facial; Wax as Wax etc.

As you can see, several combination services can be entered according to your salon needs. 

 

clip0003   When entering your services, enter your most used services first or enter them into categories or groups. Once these are setup it's a good idea not to change them. The reason being  is that a  you may lose track of service totals for past periods.

 

Activate Service Unless you offer a large selection of services you will not have 999 different services. To keep unused services from printing on the various sales reports and to keep from assigning sales to an unused service category, select only the services you are offering. 

 

Service Type The services can be broken down into five different groups.  

 

S - Service sales 

R - Retail sales 

M - Miscellaneous sales 

G - Gift card/certificate 

D - Day/Spa 

 

Service sales are services provided in your Salon such as haircuts, perms, Manicures, etc.  

 

Retail sales would be sales of retail items. You might want to break the retail sales down into different retail categories, such as hair care products, styling aids, and equipment, or, just have one category called RETAIL to cover all of your retail sales.  

 

Key # 09 has been assigned permanently as the Retail key in this program. Do not change it. When you want to ring up a sale from the entering sales screen, select F10.  

 

Miscellaneous sales are sales that you don't think fit into the other two groups that you would like to pay a different commission on. i.e. Tanning 

 

Gift certificate & Gift Card sales: Redeemed or Purchased. 

 

Day Spa sales: These are for Pre-Paid spa packages.

 

The reason for assigning each service to one of the five service groups is it allows you to assign a different payroll commission structure for each of your employees for each group.  

 

Duration In Min. When entering a Key type "S" for service, you can pre-set a standard duration time for each service performed. For example, a Color  pre-set to 60 minutes:  A facial  can be pre-set to 45 minutes etc.  This will appear on your appointment calendar every time you make an appointment for that service. You can, however, override the duration time when making an appointment since each stylist may perform that service in different times. 

 

Service Tax Select this option if there is service tax. If the service type is 'R' (for Retail) the tax charged is the Sales Tax. If the service type is 'S' (for Service) or 'M' (for Miscellaneous) the tax charged is the Service Tax. The Sales Tax and Service Tax percentage rates are entered through the Sales Register Setup command described later in this section.

 

Inventory Deletion; Check this option if  you want to be able to delete multiple inventory items for a service of type S (for Service), M (for Miscellaneous), G (for Gift Card/Certificate), or D (for Day/Spa),   This allows you to remove from inventory the proper quantities of backbar products used  for each service.  

 

Salon Price This is the default price used for the service. This amount is used as the selling price in the Sales Register when the service is entered. The person entering the sale can overwrite it, if desired. This only applies to services of type S (for Service), M (for Miscellaneous), G (for Gift Card/Certificate and D (for Day/Spa). 

 

Level 1-4 Prices Indicates preset level prices for specific employees. For example, if you have new graduates from school working in your salon, they can all be under a set up price level as Level 1. A stylist can be under Level 2, or a Master Designer's prices could be at Level 4. Be sure to have the proper level selection set up for each employee. 

 

Custom Prices To set up custom services for an employee, go to the Sales Register menu and select Misc/Register Setup . Then select Service Setup . Now select F8 option for employee price setup. Highlight the employee that you will be setting up the service for and press F8 (set pricing levels) . Select custom prices or the pricing level you want and select OK. Now from the service setup screen, select the service you want to change the price for the employee you selected. You can now enter the custom price and duration for that employee. Press Esc and repeat the process for the other services that employee provides. When you are done select Exit. 

 

Price Surcharge $ This is the amount you charge your employees every time they perform this service. Unique keeps track of the surcharge amount of each service for each employee and subtracts it from the commission amounts before any payroll commissions are calculated. The surcharge totals for each employee are printed in the Employee Totals report found in the Daily and Period Sales reports. 

 

Surcharge % This is the percent you charge your employees every time they perform this service. Unique keeps track of the surcharge percent amount of each service for each employee and subtracts it from the commission amounts before any payroll commissions are calculated. The surcharge totals for each employee are printed in the Employee Totals report found in the Daily and Period Sales reports.

e.g; Let suppose that a perm service is $65.00. You can then set a surcharge dollar amount of $5.00. This means that the employee will only get commission on $60.00

 

Fixed Cost This is the amount the service costs your salon. Unique keeps track of the fixed cost for each service for each employee, adds in the wholesale price of any products used or sold, prints the totals, and gives percentage comparisons in several of the Daily and Period Sales reports.   Note: It is not necessary to complete this now. 

 

 

clip0003When you are entering sales you can select the "S" option and all your services will be displayed on the screen. 

 

To set up a Service:  

 

Select Misc from the Sales Register. Then select Register Setup/Services Setup.  

 

In this example lets set up a service for SH/BL/CURL. (Shampoo, blow-dry, and curl). 

 

Move the scroll bar down to the next available service. Select Ok. Notice the service code number is already assigned.

Enter the description characters. (You will have to abbreviate). In this example enter SH/BL/CURL. 

Activate Service:        To activate select this option 

 

Key Type:                To activate select this option 

 

Duration In Min:        Enter how long the service will take. (Optional)

 

Taxable:                 Enter "N". Service Code is not taxable. 

 

Inventory Deletion:         Enter "N". Inventory deletion is usually for deducting Backbar inventory. 

 

Price:                        Enter the amount for this service. (Optional)

 

Surcharge:                If you want to charge your stylist a surcharge every time they perform this service, You can enter a amount to deduct from their paycheck. 

 

Fixed Cost:                This is the amount it will cost to perform this service in your salon. (Optional) 

 

Custom Prices:        To setup your own individual custom prices.
