Emailing to your client will be a very intricate part of your business. A great thing about emailing is that it will allow you to reach your client almost instantly without having to pay for postage, printing, folding sealing, apply stamps and making a trip to the post office.

 

With the Unique software emailing module you can keep in touch with your clients quickly and create instant service promotions.

 

 

Unique comes with three emailing options:

               1: Custom Email messaging

2: Single client emailing

               3: Appointment Emailing confirmation

               

 

1: Custom Email messaging

 

 

The custom-emailing module is very easy to use. There are three major criteria's for using the custom email-messaging module.

 

1.You must have Internet access.
2.You must have Microsoft outlook as your default email client. (If you are not sure about this call your Internet service provider.)

3.   Your clients must have a valid email address.

 

 

To actually use the emailing module effectively you must select the specific group of client that you'll send your message to. (See selecting Specific clients).

 

Here is an example: Let suppose you want to select all the clients that came back in the last 6 months. (See selecting Clients) You'll go to the client selection module and enter the last visit range for the clients. (Say 01/01/04 to 06012004). The Unique software will then mark all these clients within that date range.

 

Note: If you're sending email messages form the appointment option in the Sales Register Appointment menu. The Unique software will automatically select the clients that will have an appointment the next day. You can change the date once the email module is displayed.

 

 

The next step is to 'Choose selected Clients' in the email module. This will only capture the available clients that only have an email address. You will then check the "SendAll" button to indicate the clients that will be getting your email. You can also de-select individual clients in case you do not want them to receive your email.

 

The next step is to select or compose a message to send to your clients. Select the 'Compose/Review Message' button or if you already have a message set up you can pick one from the drop down menu.

 

After you select the 'Compose/Review Message' button you can Add, Edit or Find a message.

 

To add a new message, select add. At this point you can write a general message to send to your clients.

 

Generating Custom or mail merge messages

 

A mail merge message is a custom message that is totally dependant on your client-personalized information. For example the clients' birth date, name address etc.

 

So, you can write a letter like this:

 

(a) Happy Birthday message sample

 

 

Dear #First# #Last#,

 

 

Your birthday will be on #Birth_Dt#, so we'll like to be the first to wish you a happy birthday.

 

        Happy Birthday and have a great Day

 

Your friends at Salon 123

 

 

(b) Thank You message sample

 

Dear #First# #Last#,

 

It has been a pleasure serving you on #Lastin#. We appreciate your

Business and the confidence you have placed in us.

Again, thank you.

Okay, so you are wondering what is this #First# and #Last#. Well those are tags that pull the personalized information, from the clients record.

 

Here is what these mean:

 

#First#         - First Name

#Last#         - last Name

#Birth_Dt#   - Birth Date

#lLastin#     - Last Visit date

 

As you can see the tags are representations of the personalized client information. To access these tags, select the drop down Tag button. Click on the tag element you will like to insert in your letter. After you are satisfied with the generation of your letter, you can then save it to a file name that relates to the letter for usage in the future.

 

Note: These Tags are very self-explanatory. They are all provided from your client data and appointment data tables.

 

The next step is to send your email message. You'll then make sure that the message is in the "Email Message To Send" Box. You'll finally click on the 'Send Emails" Button. At this point the custom or general message will be send to each client.

 

Note: You can select the "Review Message To Be Send" button to validate each message before sending.  This is a manual and hence a slower process. One you have build confidence that what you're doing is correct, there will be no need to review each message.

 

Again, Make sure that Microsoft Outlook is your default email client. Please call you Internet

service provider to validate such.

 

 

 

 

 

2: Single client emailing

 

The single client emailing option allows you to click on the send mail button on the client info screen and end a single direct personalized email to that client only.

 

For example let suppose that you received a returned check from a client call Mary Jones, you can then find her in your client listing and display her entire client information. Locate her email address and next to it, there will be button call "Send E-Mail". Select the option, enter the subject and the Message you'll like to send.  The last step is to click on the "Send" button and That's It!  The message will be sent to that client only.

 

Note: You must have Internet access and you must have Microsoft Outlook as

Your default email client. Please consult your Internet Service Provider.
