Adding and Editing Accounts

 

 

Before any billing information can be added into Accounts Receivable, you must first setup the accounts for those clients with whom you will let carry a receivable balance.  

 

There must be at least one client in the client file to setup new accounts.  

 

Setting Up a New Account: 

To setup a new account: 

 

Select Account/Add New Account from the Accounts Receivable menu.  

 

You are asked for the name of the client for the account. Either enter the First Or Last name of the client you are searching for or leave the name blank to start searching at the first entry in the client file. A scrollable window appears listing all your clients.  

 

To select a client for the new account: 

 

Highlight the desired client and select OK

 

Adding a new client on account: 

 

If the client is not in the client file and you want to add them in, select Account/Add New Account .  

 

Put the client's name in and when the program doesn't find that client then it will go to a screen for you to add the information for that client, then press the F5 function key to add the new client.  

 

A window appears allowing you to enter information on the client. When you have finished entering the client's information the window disappears and you are returned to the client selection window.  

 

The client you just entered is highlighted. Select Ok to select that client for the new account.

Address                 Address of client. 

 

City                        City of client. 

 

State                        State of client. 

 

Zip                        Zip code of client. 

 

Home Phone                Primary phone of client.  

 

Work Phone                Secondary phone of client. 

 

Occupation                Occupation. 

 

Sex                         Enter Male or Female.

Employee                Employee code. 

 

Birth Date                Birth date of client. 

 

Anniversary Date         Wedding or any special date. 

 

Recall Date                Perm recall date for client. 

 

Walk-in Date                Not applicable. 

 

Request Date        Not applicable. 

 

Code 1 - 4                Reference codes. 

 

Categories                 Not applicable. 

 

 

 

Editing an Existing Account: 

 

To change the information relating to an existing account, such as a new address or phone number change: 

 

Select Account/Edit Account from the Accounts Receivable menu.  

 

Field Labels 

 

Acct #                Account Number.

First                        First name of client. 

 

Last                         Last name of client. 

 

Address                Address of client. 

 

City                        City of client. 

 

State                        State of client. 

 

Zip Code                Zip code of client. 

 

Home Phone                Primary phone of client.  

 

Work Phone                Secondary phone of client.
